This Privacy Policy explains how Copencia (“Copencia”, “we”, “us”) handles personal information when you visit copencia.com (the “Site”) or contact us. Information processed inside the Copencia platform (CounterSale, WorkBench, FlowMaker, RouteSheet and DayBook) on behalf of our customers is covered by our customer agreements.
Information we collect
Information you give us. When you use the contact form, we collect your name, email address, shop name (if you provide it) and the contents of your message. If you email us directly, we receive your email address and whatever you include in your message.
Information collected automatically. Like most websites, our hosting provider processes technical information needed to deliver the Site, such as your IP address, browser type and the pages requested. The contact form uses Cloudflare Turnstile to confirm that submissions come from a person and not an automated script. Turnstile evaluates technical signals from your browser to do this.
What we don’t collect. The Site doesn’t use advertising, analytics or tracking cookies, and we don’t use third-party tracking scripts.
How we use information
We use the information we collect to:
- reply to your message and follow up on your enquiry;
- arrange demonstrations, onboarding and support;
- protect the Site and the contact form against spam, abuse and security threats;
- comply with our legal obligations.
We don’t sell your personal information, and we don’t use it for advertising.
How information is shared
We share personal information only with service providers that help us run the Site and respond to you, and only as needed for that purpose. These include Cloudflare, which hosts the Site, delivers contact form messages to our inbox and provides Turnstile. We may also disclose information if required by law, or in connection with a merger, acquisition or sale of assets.
Retention
We keep contact form messages and related correspondence for as long as needed to respond to you and maintain our business relationship, and then delete them unless we’re required to keep them longer. The Site itself doesn’t store contact form submissions; they’re delivered by email.
Security
We use reasonable technical and organisational measures to protect personal information, including encryption in transit (HTTPS) and limits on who can access messages. No method of transmission or storage is completely secure, so we can’t guarantee absolute security.
Your choices and rights
You can ask us to access, correct or delete the personal information we hold about you, or object to how we use it, by emailing hello@copencia.com. Depending on where you live, you may have additional rights under local law, and you may have the right to complain to a data protection authority.
Children
The Site isn’t directed to children, and we don’t knowingly collect personal information from children.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we’ll change the “Last updated” date at the top of this page.
